FAQ

1. Exemptions from Tuition Fees

1) About how many students can be exempted from tuition fees?
Numbers vary in accordance with the budget for each academic year, but a total of 600-700 undergraduate and graduate students are exempted from either the full amount or half the amount of tuition fees for each semester. The ratio of full exemptions to half exemptions depends on the application status at the time.
2) What are the criteria for exemptions from tuition fees?
Individuals eligible to file applications
  1. Individuals for whom payment of tuition fees is difficult for economic reasons, and whose academic performance is recognized as being outstanding.
  2. Individuals recognized as experiencing severe difficulty making payment due to the death of the person primarily responsible for payment of their school expenses, or due to damage sustained to them or the person primarily responsible for payment of their school expenses as a result of wind, flood or other natural disaster, within the six-month period prior to the due date for payment of tuition fees (for the first payment to be made by newly enrolled students, within the one-year period prior to admission).
  3. Individuals corresponding to the above for whom the President recognizes the existence of reasonable grounds.
Individuals corresponding to any of the above will be judged on the basis of on evaluation of their family finances and academic achievements.
3) I paid a full year's tuition fees in the first semester. Can I apply for exemption from tuition fees for the second semester?
Tokyo Tech regulations state that once tuition fees have been paid, they cannot be refunded, so you cannot apply for exemption from tuition fees for the second semester.
4) When is the deadline for applications for exemption from tuition fees, and when are the results announced?
Mostly as follows. A detailed schedule for each semester is posted on the bulletin boards in mid-January for the first semester and at the end of June for the second semester.

5) I am thinking about applying as a financially independent individual. What are the criteria for this?
Certification of financially independent individuals is based on the following facts.
  • Either the applicant or their spouse has an income which has been declared, and for which public certificates such as a certificate of income and a certificate of payment can be issued. (This income must be sufficient for you to live on.)
  • The applicant is not a dependent of either their mother or father as provided for by the income tax law, and they live separately from them.
You will need to submit various certificates and other necessary documents to receive the abovementioned certification.
6) How should I pay my tuition fees?
Please make inquiries at the Revenue Section, Accounting Division (03-5734-2313).

2. Scholarships for International Students

1) What are the selection criteria?
Based on your application to register for a privately funded scholarship, scores are allocated for your enrollment status (doctoral, master's, undergraduate, etc.), your academic performance and your research achievements, etc. Recommendation to a particular scholarship foundation is made on the basis of your scores and he criteria set by the foundation.
2) I am a privately-funded international student. Can I become a Monbukagakusho-funded international student?
There is a domestic selection process for Mobukagakusho scholarships that targets privately-funded international students. At Tokyo Tech, students are selected from among those who submit an application for registration for privately funded scholarships (September/October) in the same way as for other scholarships for international students. However, you should be aware that Tokyo Tech can only recommend a small number of students from among the hundreds of applications we receive.
3) How should I apply for an Honors Scholarship?
Students to be recommended for Japan Student Services Association (JASSO) Honors Scholarships are also selected from among applicants for registration for privately funded scholarships. Applicants are usually solicited in April each year, so don't forget to apply for registration in spring.
4) Why can't I get a scholarship?
Unfortunately, the number of students Tokyo Tech can recommend to scholarship foundations is rather limited. You should also apply for as many direct-application scholarships as you can.

3. Student Dormitories/Apartments

1) I would like to live in a student dormitory. Can I apply to do so?
Shofu Gakusha is a dormitory for male Japanese students. For the application period and the number of possible accommodations, please se the application guidelines before the application.
2) Does Tokyo Tech have dorms for female students?
"Senzoku-ike International House" provides accommodation for female students (both Japanese and international) and female researchers. If a room is available when you apply you will be given permission to take up residence at any time.
3) I am an international student. Can I live in Shofu dormitory?
Shofu Gakusha is a student dormitory exclusively for male Japanese students, so you cannot live there.
4) How can I find an apartment?
The Tokyo Tech COOP introduces apartments, boarding houses and rooms for rent available from affiliated real estate agencies. Please consult the COOP (03-3728-8023/B1, University Cafeteria)
5) I am an international student and I can't find a guarantor for an apartment. What should I do?
Tokyo Tech can provide you with an institutional guarantee called an "Apartment Tenancy Guarantee" provided you join the Comprehensive Renter's Insurance for Foreign Students Living in Japan, which is administered by Japan Educational Exchange Services (JEES). Using this service alleviates the burden of finding a guarantor. Please ask about the procedures to be taken at the Student Support Division.
6) I am an international student and I live in Tokyo International Exchange Center (regular room allocation) (or Komaba International Students House ). Other students are allowed to live here for two years. Why am I only allowed to live here for one year?
The period of residence for Komaba International Students House and Tokyo International Exchange Center (special room allocation) for students recommended by Tokyo Tech is for one year, the same as that for Tokyo Tech dormitories for international students (Shofu Dormitory and Umegaoka Dormitory). This is done to secure accommodation for newly enrolled international students that are newcomers to Japan. Please note that this restriction does not apply to students who apply directly and are granted accommodation in Komaba International Students House.
7) I am an international student, so could you explain the difference between Tokyo International Exchange Center (special room allocation) and Tokyo International Exchange Center (regular room allocation) when international students are being solicited as residents?
Tokyo International Exchange Center (special room allocation) refers to rooms that need university recommendations. Tokyo International Exchange Center (regular room allocation) refers to rooms offered to students solicited from universities located at a commutable distance from Tokyo International Exchange Center when a vacancy arises. Given that applications are solicited whenever a vacancy arises, applicants are solicited on an ongoing basis, but there is no knowing beforehand how many rooms will be vacant at any given time. Moreover, applicants are solicited from universities within a commutable distance, so applicants may well include students for universities other than Tokyo Tech.
8) I am an international student, but I will have to vacate Shofu Dormitory very soon. Can I be recommended for Tokyo International Exchange House (special room allocation)?
As with Shofu Dormitory and Umegaoka Dormitory, Tokyo International Exchange House (special room allocation) is reserved for international students that are newcomers to Japan. International students currently resident in Japan cannot move into these facilities. Komaba International Students House accepts direct applications for some rooms, so you can contact them directly.
9) I am an international student, but can I change rooms or dormitories between Shofu Dormitory, Umegaoka Dormitory, and university-recommended dormitories (Tokyo International Exchange Center and Komaba International Students House)?
Rooms and dormitories cannot be changed without a valid reason such as the unbearable condition of the room. Reasons such as commute time are not accepted.
10) I am an international student and I would like my family to live with me in Japan. How should I arrange this?
At present, dormitories for international students such as "university-recommended dormitories", "direct-application dormitories" and "company dormitories" only provide single rooms. If you really want to live with your family, we recommend that you come to Japan alone and look for a private apartment while completing immigration procedures for your family's stay.

4. Circle and Club activities

1) What kinds of circles does Tokyo Tech have?
There are 76 authorized, actively functioning sports, technical, cultural and music circles /clubs. Please look at the Student Support Division Home Page for details.
2) I would like to start up a new circle. How should I do this?
"Approval to Start-up an Extra Curricular Activity Organization" forms are available at the Student Support Division, so please fill in the necessary information and submit it to the Co-curricular Activities Section, Student Support Division. Your organization will be authorized if it is approved by the Welfare Guidance Committee as being appropriate as a Tokyo Tech circle / club.

5. Sports Training Facilities

1) Can you tell me about usage of the pool/what do I need to apply to use it?
The pool can be used between 12:00-17:00 on Mondays, Wednesdays and Thursdays; between 12:00-19:00 on Tuesdays and Fridays; and between 12:00-13:30 on Saturdays. (Except over the New Year's holidays and when it is closed for maintenance.) Admission charges are divided into "Single Entry Tickets" and "Passcards (6 months/1 year)." "Single Entry Tickets" cost ¥200 for Tokyo Tech students and faculty and ¥300 for Tokyo Tech graduates; "Passcards" cost ¥3000 (6 months) or ¥5000 (1 year) for Tokyo Tech students; ¥5000 or ¥8000 for Tokyo Tech faculty; and ¥8000 or ¥12000 for Tokyo Tech graduates. One (3x3cm) photograph is required when applying for a passcard. *Individuals other than those mentioned above cannot use the pool.
2) Can you tell me about usage of the gymnasium arena?
In principle, use of the gymnasium arena is limited to "classes and circles," but a general lottery is held on the last Wednesday of each month to draw lots for unused time slots. Please check the Student Support Division bulletin board (W8-102) for the date, time, venue, etc. Use of the arena is free of charge.
3) Can individuals apply to use the ground?
We do not distinguish between groups and individuals with regard to use of the ground. As with the gymnasium, in principle, use of the ground is limited to "classes and circles," but a general lottery is held on the last Wednesday of each month to draw lots for unused time slots. Please check the Student Support Division bulletin board (W8-102) for the date, time, venue, etc. Use of the ground is free of charge.
4) Can I use the tennis courts?
The tennis courts at Ookayama can only be used for classes and circle activities, and are not made available for general use. We ask for your understanding in this regard.
5) Can non-Tokyo Tech individuals use Tokyo Tech sports facilities?
Our sports facilities are part of Tokyo Tech's education facilities and as such, they are not made available to non-Tokyo Tech individuals.

6. Seminar Houses

1) Can I check the reservation status on the Web?
The reservation status is updated each time a reservation is made, but just to be sure. Please check with the Co-curricular Activities Section, Student Support Division.
2) What should I do when I want to make a reservation?
Fill in the necessary information on the designated application form (provisional reservation slips and applications for use of seminar house can be downloaded from the Student Support Division home page), and submit it to the Student Support Division. You will be given three documents: permission of use; notes on use; and an application for meals (optional). Usage fees and the cost of meal should be settled in full at the seminar house in question.
3) Can non-Tokyo Tech individuals use the seminar houses?
Non-Tokyo Tech individuals cannot apply on their own, but they can stay at the seminar houses if they are accompanied by Tokyo Tech students or faculty. However, the usage fee for non-Tokyo Tech individuals is ¥1000.
4) Can I apply for other universities' seminar houses at Tokyo Tech?
You can apply for Gunma University's Kusatsu Seminar House, University of Tsukuba's Yamanaka Seminar House and Tateyama Seminar House. After making a reservation with the respective university, please submit an application form to the Student Support Division at Tokyo Tech. Application forms are available at the Student Support Division. (Application forms can also be downloaded from each university's home page)

7. Insurance

1) Do I really have to join the insurance schemes designated by Tokyo Tech?
Disaster and Accident Insurance for Students (GAKKENSAI) and Personal Liability Insurance for Students (GAKKENBAI) are both cheap nationwide insurance schemes that cover accidents occurring on and off-campus, and all Tokyo Tech students are required to join them.
2) I fell down and hurt myself on campus and received medical treatment at a hospital. How should I get reimbursed by insurance?
Procedures for claiming insurance benefits depend on individual cases and can be complicated, so please make direct inquiries at the Co-curricular Activities Section, Student Support Division.
3) I would like to get an insurance certificate.
"Request for Certificate Issuance" forms are available at the Co-curricular Activities Section, Student Support Division, so you can use one of these to apply for one.
4) How should I join COOP's Student Mutual Benefit Life Mutual Insurance and Personal Liability Insurance?
Please make inquiries at the COOP Head Office in Ookayama (TEL 03-5734-2396).

8. Part-time Jobs and Home Tutoring

1) I am looking for a part-time job.
Tokyo Tech introduces appropriate jobs for students on the web. You will need to get a Tokyo Tech mail address (···@titech.ac.jp) (undergraduates should use the email address issued in the "Computer Literacy" class.)
2) I am looking for a part-time job as a home tutor.
Requests from individual families are posted on Home Tutor Job Introductions. They are also posted on the bulletin boards in the Student Guidance Room on Ookayama Campus (B1, Main Building) and in the Student Affairs Division on Suzukakedai Campus (1F, Bldg. J1).
3) Are there any procedures that need to be taken when an international student wants to get a part-time job?
You need to get permission from the Immigration Bureau "to engage in an activity other than that permitted by the status of residence previously granted." Engaging in part-time work without this permission is punishable. This permission is also needed if you intend to work as a TA or RA in a laboratory, etc. Please be aware that it takes at least two weeks to get permission, and can take more than one month when the Immigration Bureau is busy. To apply for permission, either look at Student Support Division web site or make inquiries at the Student Support Division.
